So you want to take on a VA, amazing!! Your life is about to become a whole lot easier. But the process of bringing a new person, or possibly even the first person into your business can be a little daunting! And that’s totally understandable. Your business is important to you and letting go of the reins can be scary at first but I promise it will be worth it in the end.
In order to make this process a little less daunting, I’m going to chat with you about a few things that will make the integration of your new VA smoother
Decide how you would best like to communicate with your VA. Most VAs are experienced in all different communication types and are happy to go with what you most prefer. Whether it’s emails, WhatsApp or slack just make a choice and then do all of your communication through there.
Ask the VA to set you up a task management page. This could be in Trello or asana or one of the many other programmes but it’s important because this is how you’ll easily assign tasks to your VA. You can just type the tasks in here if they’re simple or you could upload videos of how you do it if it’s more complicated. Either way, this is great to track what tasks they’re doing and where they’re at with them.
Establish clear boundaries with your VA about what days you both work on, how often you’d like updates, etc. This means that you know that, for example, your VA doesn’t work weekends. Or they know that you don’t start work until 10 am during the week because of school runs. This way you both can respect each other’s lives.
This isn’t for everyone, but you can arrange to have weekly or fortnightly calls in order to make sure you’re all on track and answer any questions, clarify, or go through detailed tasks together. These can only be short of there’s not much to say or long if you have lots to go through.
Make sure that you’re clear with your VA on how much work they’re doing for you. If you are working hourly and only want them to do 2hrs a day, make sure they know that. I run a timesheet for my clients so that they can see exactly how many hours I’m doing and on what I’m working on. If you’re paying for a package, make sure you’re clear on what’s included in this package. And then ensure that you know how they invoice, when they invoice, and their rates so there are no confusions or surprises for either of you!
I hope those tips were helpful if you’re thinking about bringing a VA into your business! Most of these tips your VA will suggest to you while you’re setting up your partnership, but it’s good to know what to expect!
