We’ve all been there… the to do list tasks are piling up and you’re getting more and more overwhelmed… the more tasks you add the less you manage to do because the more impossible it seems to get done!!
But I have a solution, and it involves some serious organisation.
So, if you have a to do list that’s miles long, here are some tips for breaking it down into doable sections. There are 3 steps to this system.
Level One: Urgency
First, split it up into levels of urgency – Make a green (not urgent), orange (Medium urgency) and red section (Needs to be done). Now you know that it’s the red list you really need to focus on.
Level Two: Length of Time
Next, you need to divide the tasks in each of those individual sections into the length of time it takes to complete each task.
You should put the tasks that will take under 10mins at the top of the section list and anything that’ll take you over 3 hours at the bottom. Make it a sliding scale from the shortest time to complete to the longest time.
Level Three: Desire to do the Task
Finally, once you’ve organised each of the sections you need to have a real heart to heart with the list. Some tasks you put off and put off even though they won’t take long just because you don’t want to do them.
So give each task a rating of 1, 2, or 3 depending on how much you actually want to do it.
Once you’ve done all of that it should be clear which tasks you NEED to tackle first. I usually start with the red list, the shortest tasks, that I don’t mind doing. Then when I’m in the flow of ticking things off I start on the tasks I don’t want to do. Then I switch onto ones I do want to do again when that starts to drive me crazy.
And so on and so forth until you’ve really made a dent!
